Job Description:
  • Established in 2007, AAN Associates is a leading research and development consulting entity with growing portfolio of national and international projects.
  • AAN works with range of development partners – IFIs, UN agencies, public agencies, and others, to enable them deliver on development results.
  • AAN Associates is reckoned as a practice lead for development evaluation with global footprint. AAN brings a distinctive track of producing award winning evaluations recognized internationally.
  • AAN has so far implemented over 100 projects in over 25 countries. AAN has worked in countries from multiple regions including East Asia and Pacific, South & West Asia, North Africa and Middle East, East and South Africa, and West Africa.
  • AAN intends to hire an ADMINISTRATION OFFICER for its Operations Unit.
  • The incumbent will be responsible for the over-all office administration, Logistis & I.T Support functions.

MAJOR RESPONSIBILITIES:

  • The responsibilities are divided into three major components as below:

 OFFICE ADMINISTRATION

  • General office management & administration
  • Arrange and manage official events
  • Employees attendance record keeping
  • Repair & maintenance of office space and office equipment
  • Maintain record of company's assets issued to staff (computers, furniture, devices, etc.)
  • Use safety precautions in all housekeeping services
  • Supervise and delegate tasks to office support staff (drivers, office boy, janitors, guards etc.) and ensure their tasks are completed timely
  • Establish contracts for staff/consultants health and life insurance and manage AAN health fund.
  • Manage AAN’s Corporate Social Responsibility Fund.
  • Ensure timely submission of office rentals / utility bills to finance department for payment
  • Maintain all relevant records

LOGISTICS & PROCUREMENT 

  • Make the travel & lodging arrangements for AAN’s employees and consultants (visa, vaccination, hotel, air and road travel, insurance, travel authorization and advances, and others) and manage record.
  • Welcome company’s guests and make necessary arrangement for their stay and travel
  • Manage company’s vehicles/fleet and supervise insurance and daily use
  • Manage general office procurement (vendor management, issuing RFQs, receiving quotations, and preparing bid analysis and purchase orders/contracts for selected bidder
  • Purchase and maintain office supplies, kitchen supplies & stationery for all departments
  • Maintain record of company's assets issued to staff (computers, furniture, devices, etc.

INFORMATION TECHNOLOGY SUPPORT 

  • Manage the contract with IT Support Consultants and ensure that all IT equipment is working properly
  • Assess IT equipment and services need and procure equipment and services as per need
  • Act as primary focal point for trouble shooting of IT equipment and services
