Job Description:

To ensure that financial management of SPO center funds, operations, personnel management, logistics and general services are carried out in a cost-effective manner and in accordance with SPO objectives and established procedures

Accounting and Record Keeping

  • Responsible to maintain and record accounting transactions at Regional centre on a regular basis.
  • Process expense & travel claims of the Regional Centre staff
  • Process payment vouchers, monthly staff salaries and financial statements
  • Ensure payments to all the vendors/suppliers
  • Maintain petty cash fund at the regional centre
  • Post all transactions in the accounting software
  • Correspond with other centres for expenses claims
  • Deal with all bank remittances and other payments and maintains proper record
  • Perform bank reconciliation statements and maintains bank record's files;
  • Maintain proper filing system for payment vouchers and other financial correspondence,
  • Coordinate with internal/external auditors during internal/external audit,
  • Provide support in the preparation of draft financial reports for SPO management and donors
  • Manage Employees Old Age Benefits scheme at Regional centre
  • Undertake any additional responsibilities as assigned by the supervisor from time to time.

Procurement and Inventory Control

  • Ensures the procurements are made as per procurement policy including services like printing services, building and equipment maintenance services, travel and hotel services etc
  • Supervises appropriate stock of expendable supplies and proper inventory of the equipment, furniture and vehicles at/under the direct control of National Centre
  • Prepare and update inventory status report and submit to NC Administration Unit on quarterly basis after performing physical verification on regular basis.

Travel and Vehicle Management

  • Oversees the SPO vehicles management, prepares duty roster, including daily duties of vehicles/drivers and proper maintenance and smooth functioning of vehicles
  • Ensures that quarterly vehicle maintenance reports are submitted to the NC Administration Unit

Personnel Administration

  • Responsible to maintain and update the personnel files at regional level
  • Facilitate the recruitment and performance evaluations process at the regional level
  • Responsible for submission of quarterly timesheet summary & monthly leave status of staff to HR Unit
  • Oversee the submission and settlement of health insurance claims of staff to the HR unit

Other

  • Adhere to SPO policies and promote participatory culture and demonstrate SPO’s values
  • Participate in professional development training as identified and approved by SPO
  • Carry out any other activities as assigned by the supervisor.
