IRC has been working in Pakistan for over 30 years, and manages & delivers large, complex programs to meet needs in health, education, protection, environmental health and livelihoods for displaced, poor & conflict-affected communities. IRC works in partnership with local government and non-governmental organizations and currently works in the Khyber Pakhtunkhwa and Sindh provinces.

Job Overview/Summary:

  • The Reporting & Coordination Manager will be responsible for documenting overall progress, lessons learnt, case studies, preparing donor briefs, and preparing internal periodical reports for RELIEF (integrated project to respond to TDPs needs). This position requires a very frequent and close coordination with all key program staff within IRC and externally with consortium partners, implementing partners and donor. The position will work closely with all relevant key program staff in the field and at country office while reporting to Senior Information Management & Reporting Manager.

Major Responsibilities:

Reporting

  • Writing of different high quality progress & analytical reports, workshop reports, grants report, interim reports
  • Transform reports/updates gathered from program implementation teams/partners into effective and useful information and disseminate efficiently to key relevant stakeholders
  • Draft internal progress reports, presentations and updates as per donor’s and IRC requirements with highest quality standards
  • Produce high quality case studies and document the learning as shared in different forums or highlighted during course of project implementation
  • Classifying, collating and storing information, usually using special computer applications, for easy access and retrieval.

Information Management

  • Assist in collecting, compiling, organizing and storing the flow of information and files produced within the projects to  support  vulnerable population
  • Maintain the information at office level that can be helpful for project, reporting and any new initiatives
  • Update program information and provide relevant project documentation, for monthly/quarterly reports, monitoring tools, fact sheets etc.
  • Maintain and disseminate program schedules, monitoring tools and calendars among the program team.
  • Maintain projects information including reports, database, pictures, videos, meeting minutes and presentations
  • Monitor and review regular sources of information and data required for preparation of reports, e.g., information from field teams, other IRC offices, news clippings, surveys;
  • Gather and analyze information about donor policies, trends and preferences;
  • Compile field level information required for operational reports to donors;

Coordination

  • Maintain an effective communication with all key stakeholders but mainly with Protection, Livelihood and REILEF program teams, RELIEF Consortium Partners’ focal points, implementing partner organization
  • Liaise with other sectors and IRC program teams to ensure that all relevant colleagues including Team Leader and SMT members have updated information
  • Attend all relevant RELIEF and other Program Coordination Meetings
  • Support Team Leader in administration & organizing meetings;
  • Contribute to overall project support regarding internal/ external communication with partners with least supervision
  • Any other task assigned by the line manager

Day To Day Tasks Management

  • Arrange progress review meetings, as and when necessary; record and disseminate minutes of meetings
  • Take minutes of the meetings and report writing

Job Requirements:

Education:

  • Master degree in management, communication field or social sciences.

Work Experience:

  • A minimum of 4 years of experience in I/NGO related to reporting and communication, coordination and information management; and advanced training/courses in English, social sciences, international relations, communications, or other related fields

Demonstrated Skills and Competencies:

  • Excellent reporting writing skills in English
  • Excellent communication and analytical skills
  • Proficient in qualitative analysis and documenting them into high quality analytical reports
  • Computer skills including MS- Office, Excel, Power Point, Outlook.
  • Ability to handle multiple tasks; proven self-initiative and problem solving abilities;
  • Excellent presentation skills.
  • Ability to meet short deadlines.
  • Willingness to work long hours and on week-ends if required by the emergency assessment.
  • Knowledge of research methods 
  • Ability to work under pressure

Language Skills: 

  • Strong English language skills both written and oral; knowledge of local languages including Sindhi

Desirable criteria:  

  • Past work experience on integrated DRR projects
